Privacy Notice: Referrals

At SOL Networks Limited ("we," "us," or "our"), we value your privacy and the privacy of the candidates you recommend. This Privacy Notice explains how we collect, use, and protect personal data provided through our referral form, in compliance with the EU General Data Protection Regulation (GDPR).
1. Who is the Data Controller?

2. What Data Do We Collect and Why?
When you submit a referral, we process two sets of personal data:
- Your Data (The Recommender): We collect your full name, email address, and relationship to the candidate.
- Purpose: To manage our referral program, contact you about the progress of the referral, and administer referral rewards.
- Legal Basis: Our legitimate interest (Art. 6(1)(f) GDPR) in running an effective recruitment program and verifying the source of the application.

Important Note for the Recommender: By submitting this form, you confirm that you have informed the candidate that you are sharing their professional details with us, and that they have no objection to being contacted by our recruitment team.
3. How We Handle the Candidate's Data (GDPR Art. 14)
To ensure transparency, GDPR requires us to inform the candidate when we receive their data from a third party.
- We will contact the candidate within 30 days of your submission.
- In that initial communication, we will let them know that you recommended them, and provide them with our full Candidate Privacy Notice.
- If they request that we delete their data immediately, we will honor that request and remove them from our system.
4. Data Sharing and International Transfers
We do not sell personal data. Your data and the candidate's data are only shared with:
- Our internal HR, recruitment team, and the relevant hiring managers.
- If data is transferred outside the European Economic Area (EEA), we ensure appropriate safeguards (such as Standard Contractual Clauses) are in place.
5. Data Retention
We will store your personal data until the moment of our decision on the candidate and/or potential payment to you, including the time periods necessary for accounting and our legal obligation purposes.
6. Your Rights (and the Candidate's Rights)
Under the GDPR, both you and the candidate have the right to:
- Access, correct, or delete your personal data.
- Object to or restrict the processing of your data.
- Withdraw consent at any time (if processing was based on consent).
- File a complaint with your local Data Protection Authority.
